Privacy Policy

This policy applies to maharecruit.com, app.maharecruit.com and related MahaRecruit services. It covers institution administrators and authorised staff, candidates, and people who contact us, request a demonstration or otherwise interact with us.

Depending on how you use MahaRecruit, we may collect:

• Account and contact data: name, email address, mobile number, role and information used to verify an account or contact method.
• Institution and workspace data: institution details, colleges or units, administrators, recruitment and vacancy information, and workflow or platform configuration data.
• Candidate, profile and application data: personal and contact details, address information, reservation, category or parallel reservation claims where applicable, education, qualifying examinations, experience, employment and publication details, application answers and declarations, and photographs, signatures or supporting documents uploaded for a recruitment.
• Communications: support enquiries, feedback, correspondence and information submitted through a demo request.
• Technical and security data: IP address, browser and device information, login and security events, timestamps, diagnostic logs, and cookie or session information.
• Commercial and transaction information: subscription, billing, payment and transaction records relating to institution customers, where applicable.

We use information as reasonably necessary to:

• create accounts and provide, operate and maintain the platform;
• support recruitment workflows, including applications, scrutiny, document review, scoring, interviews, merit or selection processes and final results;
• verify identity or contact details and protect account access;
• allow authorised institution users to review and process applications for the relevant recruitment;
• send service, support and recruitment-related communications;
• troubleshoot issues, prevent fraud or misuse, monitor security and improve platform reliability;
• meet legal, regulatory, audit and record-keeping obligations; and
• administer subscriptions and other commercial relationships.

Institutions control their recruitment notices, eligibility criteria, vacancies, reservation configuration, scrutiny, scoring, interview and selection decisions, and the staff authorised to use their workspace. MahaRecruit provides the technology used to administer those workflows; it is not the recruiting institution or employer.

Candidate information submitted for a recruitment is made available to the relevant institution and its authorised users as necessary to administer that recruitment. The institution may have its own privacy notice, records policy and legal obligations that also apply to the candidate's information.

We may share information with:

• the relevant institution and its authorised administrators, reviewers, interviewers or other staff involved in the recruitment;
• vetted service providers supporting hosting, email, SMS or OTP delivery, storage, security, analytics, customer support or payments, where those services are used;
• courts, regulators, law-enforcement bodies or other parties when disclosure is required by applicable law or reasonably necessary to protect rights, safety or platform security; and
• a successor or relevant party during a merger, reorganisation, financing, acquisition or transfer of business assets, subject to appropriate safeguards.

MahaRecruit does not sell candidate or institution personal information for advertising.

We use reasonable administrative, technical and organisational safeguards designed to protect information. Depending on the service and context, these may include authentication, role-based access controls, logging, restricted document access, backups and security monitoring. No method of transmission or storage over the internet is absolutely secure, and we cannot guarantee that every security risk can be eliminated.

We retain information only for as long as reasonably necessary for active accounts and recruitments, institutional record requirements, support, disputes, security, legitimate business needs and applicable legal obligations. Retention periods may vary by institution, recruitment and record type. Information removed from active systems may remain in protected backups for a limited period before deletion or overwrite.

Subject to applicable law and relevant institutional or legal retention requirements, users may ask to access, correct, update or delete personal information, or raise a privacy question. We may need to verify the request before acting on it.

Candidates may also need to contact the recruiting institution for records that the institution controls. Withdrawal or deletion may not alter a completed selection process, published result or official record that must be retained.

MahaRecruit uses cookies and similar technologies where necessary for sessions, authentication, security and user preferences. We may also use limited analytics to understand service performance and usage. Browser controls can restrict cookies, but doing so may prevent parts of the website or platform from working correctly.

The website or platform may link to or integrate with third-party websites and services. Their handling of information is governed by their own terms and privacy policies, and this policy does not cover services outside MahaRecruit's control.

The platform is intended for recruitment participants who can provide information lawfully. If a minor is eligible for a particular recruitment, the recruiting institution is responsible for ensuring that the recruitment and related data collection are lawful and that any required consent or authorisation is obtained.

We may update this Privacy Policy to reflect changes in our services, practices or applicable law. We will publish the revised policy with a new effective or last updated date. Where appropriate, material changes may also be communicated through the website, platform or email.
